Booking Terms with You, Me & Friends: Here’s What You Need to Know

For Flight Bookings

Alright, jet-setters, here’s what we need from you to make sure your flight booking is smoother than a first-class champagne:

  • First name & last name: Match it with your passport or photographic travel ID. We don’t want you stuck at security!
  • Mobile phone number & E-mail address: So we can send you those juicy flight details.
  • Frequent flyer number: If you have one, let’s rack up those points.
  • Copy of your passport: So we know you’re you.
  • Covid Vaccination status & Copy of Vaccine passport: Still needed for some international destinations. (We know, ugh.)
  • Travel Insurance: Yes or no. If yes, do you have your own or need a quote from us?


For Cruise Bookings

Ready to sail the seven seas? Here’s the cargo of info we need:

  • First name, middle name(s) & last name: Must match your passport or photographic travel ID. No aliases here!
  • Date of birth: So we can bake you a cake at sea.
  • Mobile phone number & E-mail address: To keep you in the loop.
  • Cruise past passenger number: If you’ve sailed before, let’s not lose those loyalty points.
  • Copy of your passport: Proving you’re a legit sea-farer.
  • Covid Vaccination status & Copy of Vaccine passport: Required for some ports of call.
  • Travel Insurance: Yes or no. If yes, got your own or need a quote?


For Hosted Group Tour Bookings

If you’re ready for an adventure with friends you haven’t met yet, here’s the checklist:

  • First name & last name: Matching your passport or photographic travel ID, naturally.
  • Mobile phone number & E-mail address: We like to keep you informed.
  • Your pick-up address: So we know where to find you.
  • Copy of your passport: For when we need to prove your identity to the locals.
  • Fitness declaration: We need to know you can keep up!
  • Emergency contact information: Just in case you get too adventurous.
  • Covid Vaccination status & Copy of Vaccine passport: Still needed for some places.
  • Travel Insurance: Yes or no. Got your own or need a quote?



Prices, Payment, Ticket Time Limits


  • Currency: All prices are in New Zealand dollars. (Sorry, no bartering with sheep!)
  • Trip Designer Work: Payable in advance and non-refundable. Because we put in the effort, and effort doesn’t grow on trees.
  • Deposit: Required to confirm your booking. Amount varies but may be the full amount. Once paid, we get booking.
  • Cash Price: Prefer bank transfer. Cheques are ancient history.
  • Prices Quoted: Correct at time of quoting but may increase due to currency or provider price changes.
  • Travel Price Increases: If deposit paid, we’ll notify you of any increases. You might have to dig a bit deeper into the couch cushions.
  • Extra Costs: Meals, laundry, sightseeing, and other extras to be paid directly to the supplier.
  • Ticket Taxes: Included, but some countries may ask for additional airport or tourist taxes.
  • Hotel & Resort Fees & Tourist Taxes: Some hotels and cities add extra fees at their whim. We’ll try to warn you, but sometimes surprises happen.
  • Currency Changes: Pay in full to avoid currency surcharge surprises. Once paid, the rate is locked.

Ticket Time Limits

  • Limited Time Offer: Airlines often allow seat holding for a limited time. Adhere to time limits to keep the fare.
  • Expiry: After expiry, fares may increase. Rebooking at new prices may be necessary.


Final Documents

  • Timing: Normally prepared 2-3 weeks prior to departure. Group itineraries sent out 7 days prior. We like to review documents in person or over the phone.
  • Electronic Tickets: All electronic, with copies included in your final itinerary.

Your Responsibility

  • Tailor-Made Travel: Check and reconfirm tours and transfers. Double-check flight times—AM or PM can make a big difference!


Cancellations, Amendments, Refunds

Changes or Cancellations

  • Charges Apply: Fees for changes or cancellations. Airline fees can be high.
  • Date Changes: Airlines charge fees for changes after ticket issuance.
  • Cancellation Fee: Can be up to 100% of the fare.
  • Name Changes: Few airlines allow this. Charges for incorrect names.


Supplier Fees

  • Beyond Our Control: Supplier fees are your responsibility. Consult the relevant brochure or ask us.


Force Majeure

  • Overriding Event: Events like pandemics can nullify consumer guarantees. Refunds for such events are at the supplier’s discretion.

Oh my gosh, we all had a fantastic day out. Thank you so much. I really didn’t expect to like all those weird and wonderful snacks during the "Curious Food Train" activity, and didn’t think they would all participate. The staff all keep thanking us for such a great day. Looking forward to next years event!
